Preparation is Key: Technical Requirements

Colombia Wind Power 2020 Virtual will use the Hopin platform, and we are thrilled to have found a great tool that allows a truly interactive atmosphere for our virtual events. With Hopin, you won’t need to download any additional software or programmes that slow down your computer, and you can join and use all the functions of the virtual event platform directly in your browser!

We’ve put together some helpful tips for you to help make sure that you will be able to make the most of the virtual event platform:

  1. Internet speed: For a great online experience the recommendation is a minimum of 5mbps download and 2mbps upload speed. Ideally would be 30mbps download and 10mbps upload or higher for guaranteeing best quality.
  2. Browser recommendations: Make sure you are using Chrome or Firefox and that your browser is fully up to date. Safari and Internet Explorer are not fully supported as they lack the support needed for live video events. If there is constant buffering, it could be a sign that your browser is not up to date. If it is, flip to compatibility mode/view as the buffering could then be an indication for an insufficient internet speed. There is still buffering after going to compatibility mode? Then try to switch browsers and go into compatibility mode in that one.
  3. Perfect device: The recommendation here is to take part via computer. If you cannot and have to use mobile, please use Chrome or Firefox.
  4. Hopin usage: Make sure you only have one Hopin tab open as there could be feedback or sound looping otherwise.

The Details: How Hopin Works

Never used Hopin before? No problem! It’s very intuitive and will be easy to use during Colombia Wind Power Virtual 2020. To let you get to know the tool in advance, we’ve created a short video tutorial providing a basic introduction to Hopin, including registration, reception, stage, and the expo area.

Account and Registration

Unlike typical webinar platforms, it’s necessary to create an account and profile on Hopin – but don’t worry, this is only to help you meet other attendees at the event! Just like using Linkedin, users will be able to check out your profile so that you can chat and connect with other professionals that are in the same event.

Go to https://gwec.net/gowstw-virtual-registration/ to register for the event — it takes less than a minute! When you click submit, you will be re-directed to the Hopin platform to pay for your ticket and can create your account directly during the check-out process. Once you complete the payment,, you will receive an email with your e-ticket, invoice and link to join the event on the day.

Additional Support

If you have any problems or questions during the live conference, use the chat on the main stage to reach with the organisers at any time. If you have any further questions, feel free to also get in touch with Shuxin Lim at shuxin.lim@gwec.net

Sessions Area: Where you can join the conversation!

We want Colombia Wind Power Virtual 2020 to be more than a one way street – the ‘Sessions Area’ makes it possible for all attendees to join the conversation!

The ‘Sessions Area’ is where all the interactive events like panel discussions, technical breakouts and private networking take place through a livestream, similar to a Zoom or Teams meeting. Like a live conference, there will be many opportunities for the audience to participate in the discussions, and you will be able to ask questions directly to our panellists by sending them in the chat area. Please make sure to have your audio and video on during the Q&A so that you are prepared to participate.

No Webcam? No Worries!

Although Hopin won’t let you join without a webcam, if you don’t have a webcam or prefer not to turn it on, there are a few workarounds so that you are still able to join the sessions:

  • Webcamoid works on Linux, Windows, and Mac
  • if you’re already using OBS and are on Windows, check the OBS Virtualcam plugin
  • if you need more options, a good search term is virtual webcam

This way, the operating system, browser, and ultimately Hopin will have a webcam available and you can join sessions without actually sharing your video.

Virtual Networking: Giving you the ‘coffee-in-the-lobby’ experience

Making new connections is not easy without be able to attend in-person events, but we work hard with all of of virtual events to bring you as many networking opportunities as possible to expand your network and open the door for new business opportunities.

The ‘Networking’ area on Hopin helps you to meet other attendees by automating the discovery of new connections. When an attendee participates in the Networking, they are matched with another attendee and meet for a time pre-set by the event organiser for a one-on-one meeting similar to a FaceTime call. Attendees can leave at any time and have the option to click the Connect button during a call to exchange contact information. Watch the video below to find out more on how virtual networking works on the Hopin platform!

Chats for everyone

There are multiple chat channels at GWEC Virtual Events on Hopin to connect with your fellow attendees, spark discussions, and engage with our speakers.

Each chat serves a different purpose:

  • Event chat — this tab shows the global event chat where all participants can post messages.
  • Session chat — each session in Sessions has its own chat room. Attendees who are off-camera can chat in the session to interact with people on camera and vice-versa.
  • Booth chat — like Sessions, each booth has its own chat for group discussions and interaction.
  • Meeting chat — in Networking, a private 1:1 chat channel is available to the participants.
  • Direct messages — anyone can send messages to an individual at a Hopin event via DMs in the People tab. To send a DM, find the person you wish to chat with in the People tab, click their profile photo, and send a direct message to them

Take note! We respect your privacy. All of your personal contact information will be kept confidential. Rest assured that no contact information will be shared via the meetings platform. Happy networking!

Virtual Exhibition

The Expo area is the virtual exhibitor hall where you can explore booths of offshore wind leaders in Colombia and globally. Every booth will either feature a pre-recorded video or a live video session with a vendor representative “manning” the booth during the expo networking time. If you wish to speak to the vendor, simply request to share your audio and video, and the vendor will be able to answer your questions just like how it is done at exhibition halls in person. If you are not able to attend one of the live sessions at a booth, you can register your interest at the booth and a representative can reach out to you directly.
